Purchases and receipts

Enter purchases manually and attach a receipt photo, selected image, or PDF. Classroom Ledger does not scan receipts to fill in purchase details automatically. Purchases are grouped as Not submitted, Awaiting reimbursement, Not reimbursable, and Reimbursed. Vendor refunds appear in their own group. Reimbursed purchases remain available in the ledger.

For a vendor refund or return, open the original purchase and choose Record refund or return. Enter the refunded amount as a positive USD amount and select the refund date. The app stores a separate negative record linked to the original purchase; it preserves the original amount and receipt. A refund may have its own attachment. Employer reimbursements remain separate from vendor refunds.

Choose More options → Filters → View by to switch between School year and Calendar year. Calendar-year views use each purchase or refund's own date, so a refund in a later year appears in that later year. Reports show recorded spending; they do not determine tax deductibility or reimbursement eligibility.

Using the app offline

Your purchases are stored on your device. You can work offline; iCloud changes wait until a connection and the intended iCloud account are available. A separate Classroom Ledger sign-in is not required.

When iCloud needs attention

Open More options → Settings → iCloud sync in Classroom Ledger to read the current status. Check your connection and available iCloud storage. Use Retry sync when offered. If the app reports an account or ledger mismatch, preserve the installation and contact support. Do not uninstall the app or switch accounts as a troubleshooting step: unsent changes may exist only on that device.

Reports and backups

Open More options → Export for PDF reports, CSV files, and portable backups. To import a saved backup, open More options → Settings → Backups. Keep backups in a location you control. Before importing, read the app's review screen. Once synchronization has been attempted, an eligible import adds missing purchases; it does not overwrite current purchases or bring deleted purchases back.

Deleting purchases and managing storage

Deleting a purchase retains deletion history to prevent another device from restoring it. Earlier receipts and recovery copies can remain locally or in iCloud. Reviewed cleanup removes only the local copies named in its confirmation. It does not erase all iCloud data or exported files. Deleting an original purchase leaves its separate refund records in the ledger.
